Privacy Policy

Rae of Hope Volunteers ("we," "us," "our") connects students in Alamance and Guilford Counties, NC with volunteer opportunities and tracks their verified service hours. This policy explains what information we collect, why, and how it's handled.

Information we collect

• Account information: name, email address, and password for parent/guardian, student, and organization accounts.
• Student information: full name, date of birth, grade, school, and volunteer sign-up history.
• Parent/guardian information: name, phone number, email, and home address.
• Waiver information: emergency contact name and phone number, any allergies, medical conditions, or medications you choose to share, and health insurance information (provider, policy/member ID, and related policyholder details), collected through the Volunteer Waiver, Release & Parental Consent form.
• Volunteer hour records: date, location, type of activity, and hours completed, verified by our on-site adult supervisors.
• Organization information: contact details and information submitted by partner organizations proposing volunteer opportunities.
• Messages you send us through the Contact page.

How we use this information

• To register students and parents for volunteer opportunities and manage sign-ups, approvals, and waitlists.
• To verify and record volunteer hours, and to generate hour-verification forms and school-specific paperwork on request.
• To keep an on-site adult supervisor able to reach a parent or respond appropriately in case of a medical situation during an activity.
• To send you email notifications about sign-ups, approvals, waiver status, and account confirmation.
• To communicate with organizations about proposed volunteer opportunities.

How we share this information

• We do not sell your information or share it with advertisers.
• We share the minimum necessary information with our named partner organizations and on-site adult supervisors for the specific event a student has signed up for.
• At a family's request, we include a student's verified hours on a printed or downloaded form intended for that student's own school.
• We may disclose information if required by law, or to protect the safety of a student or others in an emergency.

Data retention

We retain account, waiver, and volunteer-hour records for as long as your account is active, and as needed to maintain accurate historical hour records for students who may need them for school, scholarship, or court-ordered service purposes. You can ask us to delete your account and associated data at any time by contacting hello@raeofhopevolunteers.org, except where we need to retain verified-hour records for legitimate recordkeeping purposes.

Children's information

Our program is built around student volunteers, many of whom are under 18. Student accounts and information are created and managed by a parent or guardian, and a parent/guardian must complete a waiver before a student's sign-up is confirmed. We collect only the information described above and use it only for the purposes described above.

Security

We take reasonable steps to protect the information you share with us. No online system is completely secure, and we encourage you to use a strong, unique password for your account.
